Client Problem

A Global Non-Profit organization engaged C’S|3 consultants to transform its online learning management system. The problems were inefficient workflows with student and staff enrollment and application process, a lack of front-end portal for marketing, the need for integrating the events management system, and taking the learning of hundreds of workers to a gamification model. The other requirement was the integration of a payment system, database migration, and integration with legacy systems. The organization’s support systems were archaic and independent from each other: program enrollment was handled through snail-mail, and student records were manually entered into a proprietary database with limited search and reporting features.

Built around an original open-source course delivery system, the new web-based platform seamlessly integrated marketing, course, and program information, enrollment, and registration, with course completion and record-keeping. It even included functions and apps for integrating: video and photo libraries, online donor management, and a custom administrative management of various services for admins, registrar, program offices, international teams, and the core leadership teams.

A global logistics company engaged in relocations business having 120 offices worldwide faced the unique challenge of keeping track of its customers, vendors, and reciprocal moving partners as they coordinate large relocation moves for their global international fortune 500 clients including the U.S military. The unique challenge of coordinating relationship management with customers and logistical partnering companies, live updates of moving data of trucks, shipping containers, and air shipments, and giving key insights to decision-makers was needed by the client. Disparate legacy systems and multiple databases, and each global office using their own workflow system added the layer of complexity causing delays, loss of customers and loss of revenues with reciprocal partners. A unified system was needed to solve these challenges as well as overhauling business workflow processes and a plan to roll out training simultaneously as these systems became available for each office.

A unique understanding of enterprise architecture and translation of requirements to the creation of systems, and the ability to manage a worldwide change management implementation was why the logistics firm hired C’S|3. Understanding different work cultures are it in Europe, Asia, the US or the middle east bringing teams that interact transnationally requires a global understanding not only of the business and its objectives but also of varied working cultures of its people spread across nations. Working with key leaders and gaining trust from senior leadership allowed C’S|3 consultants to execute a global change strategy.

Solution

A global management relocation tracking system that coordinated customer acquisition, contract management, calculation of shipping volume, sales, and coordination of shipment partners (air, ocean liners, and trucks) were the first system pieces put in place that allowed the private relocation giant in disbanding siloed databases and systems at each office. Roll out and coordination was done with the implementation team and a global learning management system was built to simultaneously train the sales teams, moving teams, and team leaders of various divisions like accounting, logistics, etc. The first phases were completed in the 2 years across 75 offices and the second phase triggered in year 3 to collate and automate reporting across regions for regional CEOs and divisional general managers to track KPIs based on yearly goals at the office, division, and the regional level. Year 3 and 4 also brought 40 more offices into using the global MATS system.

Client Problem

All companies need to guard systems from unauthorized access, but the stakes are higher for missionary organizations. The personal safety of some employees depend on it. An organization with a large conglomerate of entities and a global footprint required staff in some regions to operate autonomously, without publicly associating with the organization. Consequently, for years, U.S. staff communicated sporadically with some international employees via public email accounts, virtual private networks, and public cloud storage. To improve efficiency while protecting workers’ identities, the organization wanted to build a global, generically branded portal to give all staff protected access to email and other applications. The chief information officer of the organization, says, It’s important that we keep information about individuals and our organization confidential, so security is always our first objective. To reduce complexity, we wanted centralized ID services. And to help with regulatory compliance, we needed to consolidate and digitize our financial workflows including expense reports.

It was important to build a solution with fewer vendors so we could reduce technical complexity and the time spent on maintenance. Engineers configured several web pages for facilitating access to the corporate portal, which is managed by a proxy server running CAM. In some regions, the URL and the portal login page are not related to the organization. Engineers can also configure the solution to proxy portal access from a user’s personal web address. From proxy servers, CAM manages authentication by comparing users’ credentials with Active Directory. Once users’ identities are verified, they can access applications on the portal such as Microsoft Office 365 and a budgeting system.

Solution

Today, 70 percent of employees use the solution. While the portal is still being deployed, it is obvious how it will save time because everyone is looking at the same data. There is a digital record of expenses and payments, which we need for financial audits. Staff members no longer have to come up with their own email services or methods of file sharing. To ensure that only authorized people gain portal access, the organization is adding second-factor authentication. There is a choice of hardware and software tokens for secondary authentication. This is important because some people work in areas without phone coverage. We can also configure Defender to require two-factor authentication for only specific users and applications. If employees forget their password, they complete and submit a form on the portal login page, and a system administrator is able to reset it. Boosting efficiency while keeping staff safe is saving time, and they can now use the same applications regardless of where they’re working. Providing centralized access to company information and IT tools is a significant change for us. Now, we can consolidate our workflows, increase collaboration, and improve financial management, because we have the flexible security tools we need from One Identity to protect our information and the physical identities of our staff.

In today’s world, more and more companies demand a SOC 2 report from their vendors. Technology and service providers are expectecd to be SOC 2 compliant, particularly when they store customer data on premise or the cloud. Our client was facing more and more request for a SOC 2 report, which shows a company’s adherance to compliance and strict information security policies and procedures. Policies that cover security, availability, processing, integrity, and confidentiality of customer data. Our client needed to prove to their customers that their data is secure.

Solution

A SOC 2 report provides assurance to prospective and current customers about the security, availability, confidentiality and privacy of the information systems an organization uses. An account executive was assigned and dedicated to work with our client. From the initial kick-off meeting, and through the entire process C’S|3 Consultancy was there every step of the way answering questions and working closely with our client until the audit was successfully completed.

We recently completed our SOC2 audit and assessment with C’S|3, a project that initially presented itself as a resource-intensive, almost unattainable task that would go on forever. But with the hand holding, expertise, and guidance from the team at C’S|3, we proceeded through this process at a very organized and controlled pace which resulted in our certification for being SOC2 compliant.Many thanks to Josh Rosales for leading the project and taking us through this process, without his leadership, we would never have been able to complete this alone and in the timeframe that it took to complete the project. Our next project is HIPAA compliance, and we are looking to the C’S|3 teams to help us through that certification as well. Thanks again for a great experience.
